Title: Administrator | Property Management
Location: Birmingham, AL
Reports to: Scott Laslo - Executive Vice President and Lauren Holmes - Director

Administrator | Property Management: At the direction of Scott Laslo| Executive Vice President and Lauren Holmes, Director | Property Management, the position is responsible for administrative assistance to the property management department as well as assisting assigned property managers in the day-to-day activities of multiple properties in the Crawford Square portfolio. The ideal candidate will be a collaborative team player who wants to learn, welcomes challenges and is confident in their decision-making ability.
Responsibilities
- Provide administrative assistance to multiple property managers across the portfolio
- Administrative Duties: (Subject to change).
- Upload and organize all management files to Egnyte, both day to day and during property transitions
- Assist in transferring documents to CSREA Letterhead.
- Assist with updating tenant notice addresses at the corporate level and ensuring accurate property level contact information; manage on site contacts in Building Engines for mass communication purposes
- Building Engines work order submission, coordination, and follow up.
- Assist Property Managers in developing and maintaining strong relationships with existing and new tenants
- Assist Property Managers in resolving maintenance issues
- Assist in preparing monthly and quarterly variance reports for reporting to ownership
- Assist in managing fiscal activities of the property including development and adherence to the budget
- Assist in responding to tenant and shopping center customer inquiries and suggestions as assigned
- Assist in tenant coordination upkeep
- Invoice coding for PM Approval
- Draft contracts
- Assist lease admin with monthly demand/default notices
- Scheduling annual inspections
- Assist in capital process. (I.e. assembling TA documents, legal, leasing commissions, and all capital related invoices)
- Assist with tenant move-ins/outs
- Assist with onboarding new acquisitions and assignments (I.e. Utility Transfer, Building Engines data input, vacancy prep, leasing sign install)
- Assist in bid process. (i.e completing bid recommendation forms and soliciting bids)
- Handle all tenant billbacks (roof, HVAC, trash)
- Assist with on-boarding of new tenants
- Email maintenance (file saving important documents such as proposals, contracts, etc.)
- Manage tenant and vendor insurance compliance tracking process for assigned assets
- Process and distribute property related mail to the appropriate Property Managers and team members
Requirements
- Four-year college degree preferred
- Excellent organizational and interpersonal skills
- High proficiency of Microsoft software including Word, Excel, and Outlook
- Strong analytical and problem-solving skills
- Overnight travel may be required
- High technological aptitude
- Commercial Real Estate or Property Management experience a plus
Title: AP/AR Clerk | Accounting

Position Summary
The AP/AR Clerk is a key member of the Accounting Department responsible for high-volume accounts payable and accounts receivable functions across a portfolio of commercial real estate properties managed for multiple ownership groups. Because requirements, processes, approval structures, and banking procedures may vary by property and ownership group, this position requires a high degree of accuracy, organization, critical thinking, and attention to detail.
This is not a data-entry-only AP/AR position. The successful candidate must be able to learn and retain detailed processes, understand how individual responsibilities affect the broader accounting workflow, and apply prior training to new and recurring situations. The role requires the ability to manage multiple priorities and deadlines while maintaining accuracy in a fast-paced environment.
Crawford Square operates with a lean accounting team in which each team member carries significant individual responsibility. Training and support are provided; however, employees are expected to progressively become self-sufficient, take ownership of assigned responsibilities, research routine discrepancies, follow tasks through completion, and recognize when an issue requires escalation. Success in this position requires both accuracy and productivity, along with the ability to learn quickly and consistently apply established procedures.
Responsibilities
This position requires demonstrated success working in an environment where processes vary by account, entity, client, or ownership group; the ability to recognize and correctly apply those differences is essential.
Accounts Payable
- Assemble invoices to be completed for payment
- Obtain proper approval, information and/or data regarding invoice payments
- Resolve discrepancies in payments with vendors or internal departments
- Enter invoices into the system for payment
- Maintain files with copies of vouchers, invoices or correspondence necessary for audit and tax compliance
- Maintain vendor records, including W-9 forms and setting up new vendors in the system
- Communicate with vendors and internal teams to resolve invoice disputes or payment delays
- Maintain AvidXchange by submitting invoices for processing, monitoring the system for accurate entry and proper coding, and approve invoices for payment processing
- Assist with 1099 preparation and reporting
- Enter Positive Pay details into the bank to ensure fraud protection and verify check data to prevent unauthorized payments and monitor the bank for any flagged checks requiring verification
Accounts Receivable
- Post tenants’ payments daily by recording received checks, ACH’s and lockbox transactions into the accounting software
- Work with the accounting team to report payment trends and issues
- Prepare bank deposits by totaling and recording deposit amounts, completing deposit slips, bundling funds with
corresponding documentation, and ensuring timely deposit at the bank and or by remote deposit
Office Coordinator
- Must exhibit a team-oriented approach regarding the day-to-day functions. Administrative duties may include things like handling and distributing mail, copying, printing, preparing FedEx shipments, filing, office supply inventory or perform other such duties that may be assigned
- Assist with month-end and year-end closing procedures
Requirements
- High proficiency in software. Experience in Microsoft Office Suite and Yardi is a plus
- Strong problem-solving skills with the ability to research routine discrepancies before escalating
- Ability to manage high-volume transactional work while maintaining accuracy and meeting deadlines
- Excellent organizational, communication, and interpersonal skills
- Familiarity with basic accounting principles
- Prior AP/AR experience in a high-volume or multi-entity environment strongly preferred
- Demonstrated ability to learn, retain, and independently apply detailed processes and procedures
- Strong record-keeping skills
- Ability to work across multiple properties and ownership groups with differing requirements and procedures
- Demonstrated ownership, accountability, and follow-through from assignment through completion
- Ability to independently prioritize responsibilities and adapt to changing deadlines and demands
